Job Summary
The University of Southern Indiana is seeking a full-time, benefits eligible Senior Administrative Assistant in the Graduate Studies department.

Essential Functions:
*Provide receptionist services for Graduate Studies. Maintain a professional and courteous demeanor at all times with all department contacts. (i.e., telephone inquiries, email correspondence and in-person visitors)
*Provide direct clerical support to the director of Graduate Studies and general administrative support to the Graduate Studies unit and support staff.
*Manage communication with individuals whose applications are incomplete.
*Manage Graduate Studies Applications.
*Provide administrative support for the Council of the Graduate Program Directors and Chairs such as recording of meeting minutes and maintaining records of council meetings.
*Maintain official graduate faculty records as well as electronic databases, web sites, and BlackBoard. Track graduate faculty status and terms.
*Assist in the administration of Graduate Assistantship applications and cultivate leads for placement of graduate assistants. Assist in the preparation of contracts for graduate assistant placement.
*Process and maintain records for the Graduate Student and Graduate Faculty Research and Travel awards. Assist in processing and maintaining records for scholarships awarded to graduate students.
*Supervise student workers as assigned.
*Other duties and projects as assigned.

Essential Knowledge and Skills:
*High school diploma/GED with a minimum of three years of office experience required. Bachelor's degree or some college course work preferred.
*Excellent customer services skills required.
*Excellent oral and written communication skills required.
*Ability to coordinate multiple tasks, determine priorities, set deadlines, and complete projects required. Excellent interpersonal communications skills and the ability for keen attention to detail required.
*Knowledge of general office equipment required including copier, telephone, and phone mail required.
*Excellent knowledge with word processing, spreadsheet, database, electronic mail, presentation, and Internet software required. Experience with standard operating systems preferred.
*Knowledge of Banner student information system preferred.
