I.         TITLE:                     CLERK
           CODE:                      PARA 908
 
II.       SUMMARY:
           An employee in this classification, under the supervision of a manager in the assigned department, performs a variety of clerical functions of a general, specialized or confidential nature such as filing, typing, mailing and reports.

III.      DUTIES:
70%   
  • Compiles and maintains a variety of records and reports, which may include vendor invoices, packing lists, and purchase orders and information regarding person(s) served by the Board.
  • Performs a variety of clerical functions, which may include matching vendor invoices with related supporting documents, data regarding person(s) served, statistics and batching for payment.
  •  Assists with a number of specific assignments pertinent to the department.
  • Maintain records and reporting as required by the Board and local, state and federal agencies such as case files and related documents.
  • Organizes and maintain a current and functional filing system and work station.
  • Prepares case records for audits and reviews.
  • Produces, copies, maintains, and scans records as required.
  • Complies with all applicable rules, regulations, laws and Board policies and procedures.
  •  May require compliance with National Association for Information Destruction, Inc. (NAID) Standards.

  • May serve as receptionist by handling incoming and outgoing calls, greeting visitors and ascertaining the nature of business.
  • May schedule appointments and meetings and provide general information as requested.
  • May be required to orient individuals assigned to the department.
 
 5%    Performs other related duties as required.
  
IV.      EQUIPMENT OPERATED:
           Office equipment, personal computer and applications software.
           
V.       WORKING CONDITIONS:
           Position may involve exposure to individuals with medical and behavioral risks.
 
VI.      KNOWLEDGE, ABILITIES AND SKILLS:
           Knowledge of business office practices and procedures.
           Skill in clerical functions.
           Skill in typing and operation of calculator, data system equipment and other office machinery.
           Ability to exercise good judgment.
           Ability to establish and maintain harmonious relationships.
           Basic math skills.
           Effective organizational and responsive communication skills.
           
VII.    MINIMUM QUALIFICATIONS, EDUCATION AND EXPERIENCES:
 
           A.       Education:
                       High school diploma or GED.
          B.       Experience:
                       Gatekeeper computer management system experience is preferred.
           C.       Credentials:
                       1.        Certification:
                                   Position may require NAID Certification.
                       2.        Registration:
                                   N/A
                       3.        Licensure:
                                   Valid driver license.
           D.       Ancillary Training:
                       Mandatory training as required by the Board and DODD.
           E.       Other:
  • Required to pass a keyboard skills test with a minimum of 35 words per minute with 90% accuracy rate and a 10-key skills test with a minimum of 4,300 keystrokes per hour with 90% accuracy rate. Requires passing a basic Excel, basic Word, and basic Electronic Mail skills test.  
  • May require the ability to lift up to 50 pounds.
  • Requires own transportation.
