Counseling Secretary - Grayling High School

POSITION:  Counseling Secretary - Grayling High School

DESCRIPTION: Secretarial position responsible to the high school counselors and administration.

WORK YEAR: 210 day work year plus holidays and vacation, 8 hours per day 
(student days plus a minimum of 10 days before school starts and a minimum 10 days after school is finished for the year. Also allowed 10 additional days during the summer based upon coordination and approval by administrator)

SUMMARY: The high school counseling secretary manages the counseling office while providing secretarial and administrative support to the counselors, principal, and assistant principal. The secretary is responsible for pupil accounting and for maintaining all student records in an accurate, confidential, and secure manner. The secretary further supports the full array of services provided to students, parents, instructional and support employees, including but not limited to communicating information, problem-solving, record keeping, and numerous other duties.

DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)
Responsibilities include, but are not limited to:
 

  • reception, appointments, and all secretarial duties as assigned by the counselors
  • counseling office operation
  • student records and file maintenance
  • all data entry and maintenance regarding student schedules and transcripts
  • all master schedule and scheduling-related processes
  • fourth Friday accounting (audit) information, reports, and tracking 
  • filing of truancy
  • liaison for military, college, and other outside agencies
  • grade reporting and maintenance
  • GPA ranking and honor roll
  • Senior Honors Night Program and related duties
  • Scholarship information gathering, organization, advertisement, and collection
    immunization records/health department reporting
  • daily announcements
  • processing of emergency student health lists
  • registration of new entrants
  • processing transcript requests for students
  • processing of Interim Reports (collection, mailing, filing)
  • locker assignment and maintenance
  • processing of follow-up surveys
  • CA-60 and counselor file maintenance
  • work permits
  • all other related duties as assigned

SALARY:  According to the terms of the Master Agreement.
