POSITION:  Principal’s Secretary/Bookkeeper - Grayling High School

DESCRIPTION: Full-time secretarial position responsible to the high school principal

WORK YEAR: Full-time, year-round position which includes holidays and vacation, 8 hours per day 

MINIMUM 
QUALIFICATIONS:   Multiple years of relevant office experience.

SUMMARY: The high school bookkeeper/principal secretary provides secretarial and administrative support to the lead principal and assists with all building operations and bookkeeping needs.  The secretary further supports the full array of services provided to students, parents, instructional and support employees, including but not limited to communicating information, problem-solving, material and supply acquisition, cash handling, record keeping, and numerous other duties.

DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)
 

  • Work professionally and communicate effectively positively and calmly with students, the public, and school personnel.
  • Demonstrate excellent communication skills, including both written and verbal communication. 
  • Demonstrate organizational and interpersonal skills with the ability to facilitate and prioritize tasks accurately, and multi-task effectively in an atmosphere with many interruptions.
  • Ability to maintain the highest level of confidentiality and handle sensitive situations appropriately.
  • Possess excellent phone skills, handle incoming phone calls appropriately, and utilize the internal phone system to communicate with individual classrooms or make announcements to the entire school.  
  • Ability to follow through and complete tasks promptly and meet deadlines without direction.
  • Exemplary skills using the following computer programs, including but not limited to the following: Microsoft Word, Publisher, Excel, WordPerfect, Google Suite, student information software (Skyward), accounting, and web design software.
  • Superior word processing, bookkeeping, editing, proofreading, and data entry skills.
  • Cross-train and assist with office attendance position and reception.
  • Ability to supervise office and assist as needed, while completing regular job duties. This will include assisting parents, visitors, students, and staff that come into the office.
  • Create student and teacher handbooks, curriculum guides, time and bell schedules, building utilization and classroom assignments, Emergency Operation Plans, staff and student meeting schedules, course brochures, forms, surveys, and calendars. 
  • Create, update, and maintain GHS online calendars and the GHS webpage.
  • Coordinate all activities for graduation, including but not limited to pictures, caps and gowns, diplomas, student fees, correspondence with graduates, parents, and company reps, and all other related activities associated with graduation.
  • Coordinate substitutes and work patiently with substitute staff and facilitate their schedules and duties within the building.
  • Maintain confidential high school personnel records and adhere to non-disclosure agreement practices.
  • Maintain high school textbook inventory, individual classroom inventories, key inventory, supply inventory, and office inventories.
  • Program, update, and maintain the GHS time and bell schedules. 
  • Coordinate materials regarding the opening and closing of school, Parent/Teacher Conferences, and other meetings/events/activities.
  • Knowledgeable of laws that affect school secretaries and school records and of the retention and disposal schedules for the same.
  • Work collaboratively with office staff and be an effective team player.
  • Supervise and delegate all aspects of running an effective and efficient office. 
  • Responsible for ordering and/or processing building purchase orders and/or requisitions, including textbooks, teaching supplies, equipment, etc. from the building budget.  
  • Demonstrate proficiency with accounting skills required for the building budget, internal associated accounts, athletic accounts, student fees, social probation, banking, reconciling bank statements, preparing audit paperwork, and all related bookkeeping duties.
  • Process the principal’s correspondence and all other related duties as assigned by the principal.

SALARY:  According to the terms of the Master Agreement.
