Principal's Secretary - Grayling Middle School

POSITION:  Principal’s Secretary - Grayling Middle School

DESCRIPTION: Secretarial position responsible to the middle school principal

WORK YEAR: 210 day work year plus holidays and vacation, 8 hours per day 
(student days plus a minimum of 10 days before school starts and a minimum 10 days after school is finished for the year. Also allowed 10 additional days during the summer based upon coordination and approval by administrator)

SUMMARY: The middle school bookkeeper/principal secretary provides secretarial and administrative support to the lead principal and assists with all building operations and bookkeeping needs.  The secretary further supports the full array of services provided to students, parents, instructional and support employees, including but not limited to communicating information, problem-solving, material and supply acquisition, cash handling, record keeping, and numerous other duties.

DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)
 

  • excellent communication skills to work positively with students, parents, the public, and school personnel
  • character to be able to deal with and be involved with sensitive situations
  • strong organizational skills and the ability to prioritize and be a strong team player
  • proven ability to always maintain confidentiality and trust
  • skill with software appropriate to the position including Skyward, Word, Excel, Google drive and demonstrate ability to quickly become proficient with the district internal accounting software
  • proficiency with accounting skills required for building budget, all internal accounts, banking, reconciling bank statements, and all related bookkeeping duties
  • superior editing, bookkeeping, data entry, and word processing skills
  • self-motivation, ability to multi-task and complete daily duties without direction, in line with priorities established in collaboration with the building principal
  • ability to be a team player and work cooperatively with office staff
  • ability and desire to work in an atmosphere with many interruptions while maintaining focus
  • skills required to work patiently with substitute staff and understand how to coordinate their duties in the building
  • experience to coordinate materials regarding the opening/closing of school, Parent/Teacher Conferences, Open House, and other meeting/activities
  • ability to be responsible for ordering, processing building purchase orders, including textbooks, teaching supplies, equipment, etc.
  • skills necessary to process principal’s correspondence and all other related duties as assigned by the principal
  • skills necessary to enter master schedule into Skyward and display for all personnel
  • ability to build, update and display crisis plans, student and teacher handbooks
  • ability to coordinate time sheet for parapro’s and custodians, master key list for building, special ed IEP daily schedule, chromebook insurance and repairs.

SALARY:  According to the terms of the Master Agreement.
